I won't be training for a while

If you know you won't be training for a while, for example:

  • Going on holiday, or travelling for work or study
  • Illness, injury or need for recovery where you are advised to stop training 
  • Just feel like taking a break

You can suspend your subscription and reactivate it when you get back.
This means any remaining time on your current subscription will not be used up, and you will not be automatically charged at the end of the period. When you come back to training, you can reactivate your subscription and your subscription will automatically renew on the new schedule.

You can only suspend your subscription once per period (eg: weekly subscriptions can only be suspended once a week, 3 monthly subscriptions can only be suspended once in the whole 3 months). However, suspensions last until you reactivate them.

How to suspend your subscription

  1. Log into your account and click on Subscriptions.
  2. Find the subscription you want to change and click View.
  3. Click the Suspend button.
  4. Note: Suspensions and reactivations are effective immediately!
  5. You will see a message confirming that your subscription has been suspended.

How to reactivate your subscription

  1. Log into your account and click on My Subscription.
  2. Click the Reactivate button.
  3. You will see a message confirming that your subscription has been reactivated. You should also get an email confirming that your subscription has been reactivated.
I want to change my subscription type

If you want to change your subscription type (eg: go from weekly to monthly), you must cancel your current subscription first, then create a new subscription once that's finished.

This means you can train for the remainder of the time you have already paid for, and sign up for a new subscription at the end.

Limitations of our online payments platform mean that we cannot cancel subscriptions immediately, or automatically switch subscription types.  

Important: If you don't cancel your current subscription first, you will be charged for both subscriptions. The system will not warn you that you have concurrent subscriptions, nor will we get any notifications on our side.

How to cancel a subscription

  1. Log into your account and click on Subscriptions.
  2. Find the subscription you want to change and click View.
  3. Click the Cancel button.

  4. You will see a message confirming that your subscription has been cancelled. The status will be marked as Pending Cancellation until the End date.
  5. Don't forget to set up your new subscription once the current one runs out!

I paid for training but something happened, I want a refund

Before requesting a refund, please first read our Returns and Refunds Policy.

In general, refunds will not be given as students are able to self-manage their subscriptions. Students can suspend or cancel their dojo training subscriptions until they want to resume/restart it. It is the student’s responsibility to understand these options and make the necessary changes to their subscription before the class starts.

Refunds will only be considered on a case-by-case basis. Students who feel they have justification for a refund must apply in writing to aikidovictoria@gmail.com. Medical certificates or other relevant evidence may be requested. If appropriate, your local instructor may be consulted about the requested refund. Depending on the individual circumstances, either a full or partial refund may be granted. Where refunds are made, bank and transaction fees will be deducted from the refund amount.

 

How to request a refund

Email aikidovictoria@gmail.com, including:

  • Your full name
  • Your Aiki Kai Australia membership number
  • The transaction number/receipt from your payment, including the date(s) that you want a refund for
  • The reason for the refund

In general, it would be preferable for us to transfer the payment to the next eligible event (eg: Special Day of Training or TTC), as this means neither you nor Aikido Victoria will be charged bank transaction fees. You will be informed if this option is possible.

If you do not supply enough information in your request, your transfer or refund may be delayed. Please remember we are all volunteers and will try to respond to your request as quickly as possible.
